The Records Section of the Miami Township Police Department is under the supervision of the Support Division Commander. The sections is comprised of two fulltime and one part-time clerks. Some of the Citizens Police Academy graduates will aid the records personnel with such tasks as alarm drop warning letters, copying and filing reports and other general clerical work as needed.

HOURS OF OPERATION

The fulltime clerks work Monday through Friday and keep the records section open to the public from 8:00 am until 4:30 pm. The Records Section is closed on Saturdays, Sundays and the following Federal Holidays:

• New Year's Day
• Martin Luther King, Jr Day
• Presidents Day
• Juneteenth
• Independence Day
• Labor Day
• Veterans Day
• Thanksgiving Day
• Day After Thanksgiving
• Christmas Day

NOTE: The office is open on Columbus Day

RECORDS RETENTION SCHEDULE

Miami Township adopted a records retention schedule. The Police Department records retention per policy is as follows:

Felony Criminal Reports • 25 Years (and no actions pending)
Misdemeanor Criminal Reports • 10 Years (and no actions pending)
Traffic Crash and Enforcement • 4 Years
Non-Criminal Incident Reports • 6 Years (and no actions pending)
Arson and Homicide Reports • Permanent

Other General and Administrative reports and records regardless of physical form are retained in accordance with the order of the Court issuing the record expunged.

HOW TO OBTAIN A COPY OF A REPORT

TRAFFIC CRASH REPORTS are the most requested reports: In order to make reports assessable to the public in the most efficient manner; they are posted on the Miami Township Police website where they be copied. They are listed by date; driver’s name; and/or crash location street.

Criminal reports may be obtained by:

• Coming to the police department during regular business hours
• Faxed request
• Regular mail
• E-mail
